Receptionist/Administrative Assistant

Position Description:

In addition to the qualifications and roles and responsibilities outlined below, the Receptionist/Administrative Assistant is responsible for maintaining compliance with the licensing laws and Minimum Standards for Child-Care Centers set forth by the Texas Department of Family and Protective Services.

Qualifications:

The Receptionist/Administrative Assistant must satisfy the minimum qualifications for caregivers outlined in the TDFPS Minimum Standards for Child-Care Centers sections 746.1105 and 746.1107 and additionally have the following qualifications:

  • Must be proficient in Microsoft Excel, Word, PowerPoint, and Outlook, and QuickBooks Pro

  • Exceptional written and verbal communication skills
  • Lauded experience working with young children, parents, and colleagues
  • An interest in and commitment to being an active participant in the WonderWell school community

Essential Job Functions:

  • Must be able to be at the school on time during the hours of 7:30 am to 5:30 pm Monday through Friday
  • Must be able to meet with parents of children either before or after normal school hours
  • Must be able to lift children weighing up to 40 pounds
  • Must be able to carry and move equipment and supplies weighing up to 25 pounds
  • Must be proficient in the use of Microsoft Office
  • Must be able to think and reason clearly and articulate calmly in difficult situations

Roles and Responsibilities:

Reception:

  • Warmly greet and welcome families, personnel, and visitors
  • Answer and refer inquires including telephone calls and e-mails
  • Assist in the ordering, receiving, stocking and distribution of school and administrative supplies
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating, preparing and sorting mail
  • Maintain reception area organization and overall cleanliness

Accounting/Administrative:

  • Assist WonderWell's accountant with accounts receivable and payable data entry using QuickBooks Pro
  • Support the Director and Assistant Director in preparing potential and new staff for the hiring process (submission of forms and fingerprinting)
  • Maintain personnel and student records in accordance with licensing regulations
  • Assess staff and student emergency contact frequently to ensure WonderWell has the most current information on file for each family
  • Schedule and coordinate appointments for administration and Teacher Learning Lab professional development conferences

Parent Involvement and Communication:

  • Value parents as partners in their child’s education
  • Recognize parent concerns, evaluates course of action, and responds accordingly; ensure that appropriate and involved staff are aware of specific parent concerns

Human Resources:

  • Follow all policies stated in the WonderWell Personnel Handbook
  • Observe all rules and regulations pertaining to the health, safety, and care of children at all times
  • Establish and maintain positive working relationships with state licensing authorities and vendors
  • Actively develop and maintain positive staff relationships and parent partnerships
  • Maintain student confidentiality at all times
  • Perform other duties as assigned

Education:

Minimum of High School Diploma or equivalent, Associate's Degree preferred

Experience:

  • Five years of experience as a Receptionist/Administrative Assistant in an educational setting preferred
